What OnboardPoint does

The whole joiner, mover and leaver process in Microsoft 365

One package gives you a SharePoint web part and full-page app, a Microsoft Teams tab and a Teams personal app, over SharePoint lists on a site in your own tenant.

Joiners, movers and leavers

Joiners

One record per person creates every templated task with the right owner and date, from offer accepted to probation. Journeys work for employees, workers, contractors and volunteers.

Movers

A mover journey shows what changes between the old and new role, the access to remove and any health and safety re-induction.

Leavers

The last-day gate stays shut while access items are open: account, licences, groups, owned Teams and sites, shared mailboxes and flows, plus equipment return and a knowledge handover step.

Templates you can build yourself

  • Phases from offer accepted to probation, owners by role, dependencies and conditions
  • Calendar or business-day offsets that skip weekends and the bank holidays of each UK nation
  • Template changes offered to live journeys with a clear list of differences; completed tasks are never deleted
  • "View as new starter" shows exactly what a starter will see

Tasks for every owner

My tasks

HR, IT, facilities, payroll, managers and buddies each get one queue across every journey, with overdue and due-this-week views, comments and delegation for a date range. Completing a batch of tasks at once is built for SharePoint's throttling limits.

HR command centre

A board of live journeys by phase, a day-one readiness gate (right to work recorded, IT details sent, kit ready, written statement issued, welcome sent), risk flags and CSV or Excel exports that neutralise spreadsheet formulas.

Approvals

Pre-start, offer, leaver and exception approvals in an in-app queue. Approvers come from roles and the manager field, so a reorganisation never strands an approval, and nobody approves their own request.

Reminders

With no extra permissions: in-app notifications, calendar files, Outlook drafts and Teams channel posts. With the optional Notify permissions: one daily digest per owner, sent as the HR coordinator.

New starters

The starter home is designed for the Teams personal app first: a countdown to day one, the first-day schedule, a welcome message from the manager, the people they will meet, a checklist with progress and the documents to read. It works at 320 pixels wide in Teams on a phone.

Each starter's items live in their own folder with their own permissions, so one starter never sees another's.

The manager hub

Managers see their starters, approvals, the welcome note, buddy nomination, the first-week schedule and probation dates on one screen.

Forms

A forms builder with conditional questions, required evidence, uploads to the person's folder and a sensitivity for every field: standard, restricted, special category or criminal offence. Restricted answers go to a restricted list.

Connected, coming soon

Pre-start portal

Before a starter has a Microsoft 365 account, HR sends a private link from their own mailbox. The starter opens it on any phone or computer and sees a welcome with the organisation's name, the forms to fill in, documents to upload and policies to read and acknowledge, plus their first-day details.

The link works once, expires after a set number of days and belongs to one journey. Answers are written straight to lists on a small portal site in your tenant; onboardpoint.com does not keep them, and files go from the starter's device directly to SharePoint.

  • HMRC starter checklist and emergency contact forms
  • Uploads checked by size and by the file's own first bytes
  • Policy reading with a SHA-256 fingerprint of the version read
  • First-day details: when, where and who to ask for
  • A kill switch on your portal site that stops it within a minute

Evidence and the UK pack

Acknowledgements

Version-bound policy acknowledgement with a typed or drawn signature, a SHA-256 fingerprint of the exact bytes, the server's time and an evidence PDF. A new version asks only the people who need it to read it again.

Right to work and DBS

OnboardPoint records and organises these checks, with dates and who did them. It never performs the check itself: that stays with you or a certified provider.

Rules as data

Right to work, written statements, the HMRC starter checklist, pension assessment, health and safety induction and harassment-prevention acknowledgement, each with its effective date. Rules due on 1 January 2027 switch on by themselves.

Retention is set per document type with its legal basis. Deletion goes to the recycle bin with an audit row. Signatures in OnboardPoint are acknowledgements; contracts go to a certified e-signature provider.

AI agents, each with a sponsor

Register the AI agents your organisation uses, by hand or from a CSV file, each with a named sponsor, the skills it can help with and a status. Agents have their own joiner, mover and leaver journeys, so an agent that is retired is closed off like any other.

On every step, Find an agent suggests agents that can help with that task: "Recommended by HR" or "Recommended by IT" where you have mapped one, and "Likely match" with the words that matched. It never ranks, scores or allocates people.

Policy question helper AI agent

Sponsor: People team. Can do: answer policy questions, find documents. Status: in use.

  • Only a person can complete a step
  • Agents are never counted in headcount or people lists
  • Every agent shows the AI agent badge and appears in its own row
  • An Agent Task Log records what agents were suggested for and used on

Part of the Point family

OnboardPoint works on its own. When sister apps from Apps 365 Ltd are on the same tenant, it picks them up through their own lists, with no extra consent:

DirectoryPoint

One shared register of AI agents and one skills taxonomy for people and agents, so "who or what can help with this step?" has one answer.

EquipPoint and ExpiryPoint

Equipment to issue and recover, and review dates for documents, show up on the matching journey steps.

HRPoint

When both are installed, HRPoint keeps the employee record and hands onboarding and leavers to OnboardPoint through shared lists.

Experience

A help panel and tour, a Ctrl+K command palette, light, dark and high-contrast themes that follow SharePoint and Teams, and WCAG 2.2 AA as the bar.

Permissions by tier

Basic is complete on deploy. Each further tier is optional, and OnboardPoint checks at run time what has been granted instead of assuming it.
